Under Approval workflows there is a type for Time off Deletion. This is to be used when employees wish to delete a future time off request and this will trigger a workflow for their manager to approve the deletion.
You can have multiple time off deletion workflows if you have different processes for different sites for example and once active, your workflow will replace the system default workflow for time off deletion.
If you wish to set up this workflow to only notify upon a deletion, this can be achieved by setting the approval step to Notify only. Setting this will automatically approve the request and send the notification email to your chosen recipients.
When a employee chooses to cancel a future time off booking from there self service time off section, a notice will appear informing that the record is pending deletion. The status of the record will also change to pending deletion.
Please note: Only approved time off records will trigger this workflow. Pending and Declined types will not.
This record will remain at Pending deletion until the workflow is approved at which time the time off request will be DELETED i.e. not declined. This is an irreversible process and once the record is deleted, it cannot be restored. If the deletion approval is declined then the time off record will go back into approved state and will not be deleted from the system.
